About Us

We are looking to recruit an Administrator to assist in the day to day running of our Consultancy Surveying business. Smith Tunbridge Ayres Ltd is an established niche company providing specialist surveying and consultancy services primarily to the Utilities Market. We have an opening for an Administrator to join our small team in the Leamington office. The role will be predominantly to support the Project Coordinators and Directors with daily tasks to ensure that all projects continue to run smoothly.

Key Responsibilities

· Answering incoming office calls, answering queries, transferring calls and relaying accurate and clear messages on a timely basis.

. Opening post, scanning and disseminating to relevant parties.

· Being responsible for receiving incoming instructions and thoroughly checking documents before adding to in-house systems.

· Preparing documents and agendas for meetings in a timely manner.

· Filing; photocopying; scanning; archiving.

· Daily use of Microsoft Office, particularly Excel.

· Producing schedules, sending letters and preparing documents for surveyors ahead of site visits.

· Providing support to the team to resolve any queries.

· Proactively taking responsibility to follow up with teams on actions and delegated tasks.

· Update internal and client databases with new case data, inspection report findings and progress updates.

· Preparation of Legal Instruction documents including plans.

· Establishing and maintaining good client relationships with Agents and Distribution Network Operators.

· Using a combination of mapping systems, legal documents, inspection reports and google to determine the location of electrical apparatus within a landowner’s boundary, plotting this onto a plan, ensuring 100% accuracy to form part of a legal document.

Skills and Experience

· Computer literate with the ability to pick up new systems quickly.

· Excellent attention to detail and high level of accuracy.

· Capable of working in a team and independently without supervision.

· Effective time management skills and ability to multi-task and prioritise work.

· Proficient with Microsoft packages such as Word and Excel.

· Proficient with Outlook and management of inbox.

· Maths and English GCSE grade C or above (proofreading documents daily therefore a high level of English language required).

· Previous experience in a similar role is preferred.

Job Types: Full-time, Permanent

Salary: £23,000.00-£25,000.00 per year
