Role: Executive Assistant

Location: London, England, United Kingdom (Onsite - required to be present in meeting and office)


ROLE MISSION

Working in partnership with our client, the Executive Assistant will support the Chief purpose and Executive Officer. You will proactively manage their office which spans the entire UK business and also sustainability and inclusion globally. The CEO has ADHD and loves to take on new projects. You should be organised and confident enough to be able to say no.

You are an organised and proactive person looking for a new opportunity. You have experience supporting a senior executive, you wish to be an active and integral member of the senior leadership team and are interested in join one of the fastest growing marketing-communications companies in the heart of London. You should have a strong and demonstrable interest in DEI and or sustainability as you will assist in project managing these activities.

ABOUT THE TEAM YOU WILL BE JOINING

You'll be working alongside a tremendously talented group of Marketing and advertising professionals. The role varies from diary management which is critical, to organising company parties and client events.

WHAT YOU WILL BE DOING IN YOUR ROLE

  • Assist the Chief Executive Officer as directed
  • Creation of presentations is key in this role so you need to love a powerpoint
  • Provide excellent diary management – often with conflicts to resolve.
  • Create board packs, presentation assets, record meeting minutes, and other deliverables as assigned
  • Chair some leadership team meetings on behalf of the CEO
  • Set up and prepare for annual appraisals of SLT
  • Prepare for and facilitate senior client and stakeholder meetings, ensuring that the CEO has relevant information ahead of time
  • Provide a bridge for smooth communication between the CEO and internal departments and staff
  • Research, prioritise, and follow up on incoming issues and concerns, including those of a sensitive or confidential nature, with the ability to determine an appropriate course of action, referral, or response
  • Be a source of systematic and dependable follow-up, and someone who operates with a high level of organization and preparedness
  • Be responsible for general administrative duties, financial administration, and expense reporting

  • Strong organisational skills that reflect ability to perform and prioritise multiple tasks seamlessly with excellent attention to detail
  • Professional level written and verbal communication skills and corresponding writing style
  • Proven ability to handle confidential information with discretion, be adaptable to various competing demands, and demonstrate the highest level of customer/client service and response
  • A proactive approach to problem-solving with strong decision-making capability
  • Highly resourceful team-player, with the ability to also be extremely effective independently
  • Ability to multitask across a variety of projects and manage complex deadlines
  • Emotional maturity that is expressed in your ability to remain professional and courteous throughout all interactions with staff and clients.
  • Demonstrated ability to meet deadlines in a fast-paced environment
  • Forward looking thinker, who actively seeks opportunities and proposes solutions
  • Advanced knowledge of standard industry packages such as Microsoft Office particularly PowerPoint is essential, experience with Social Media platforms is a plus
