OVERALL SUMMARY

The Investment Administration & Integration Specialist’s primary function is to manage the delivery of administration best practice throughout all Bespoke IM teams. This will involve on site office visits where Bespoke IM is in operation, to assist in the training and integration of new Investment Administrators. They will report directly into the Head of Investment Administration, supporting them in their engagement with the wider business support functions to improve client service and outcomes

The role will be based in either our London or Birmingham office with hybrid working, although weekly in person office visits will be required across London, Cheltenham & Birmingham. Additional travel to other locations including, Manchester, Edinburgh and Chester will also be required, with new locations potentially added in time.

RESPONSIBILITIES

Service levels & positive client outcomes

  • Assist the Head of Investment Administration in the delivery of levels of service expected by High Net Worth clients throughout the client journey
  • Look to improve client service to minimise incidents and complaints
  • Assist with all Bespoke IM administration improvement initiatives, acting as a voice to CBAM stakeholders from the front office.
  • Assist with the delivery of best practice to all Bespoke IM administrators, ensuring central procedures are adhered to and effective training delivered.
  • Support the production and delivery of management information to ensure performance measurement against procedures are tracked and any lessons learnt are implemented
  • Ensure training and procedure guides are regularly updated

Strategic planning

  • Lead the training process for new Bespoke IM teams coordinating efforts with other departments within the business to ensure the smoothest and most comprehensive induction program is delivered
  • Assist with Bespoke IM administration engagement with the wider CBAM business teams where required, such as Change, IT and Operations, in order to participate in improvement initiatives and provide constructive feedback
  • Work with L&D to improve training resources in order to retain high calibre engaged employees

People

  • Play an important role in developing and embedding behaviours across the IM administrational support teams that live up to CBAM’s Business Principles, continuing to ensure a one team, one culture ethos across Bespoke IM, importantly as teams grow in size and new talent is on-boarded and developed
  • Assist The Head of Investment Administration with coaching and development of new and experienced members of the Bespoke IM teams
  • Actively participate in CBAM’s diversity and inclusion initiatives

Adhere to Risk & Compliance requirements

  • Ensure that all Governance and Compliance requirements are adhered to and all reporting and reviewing activities required by the Regulatory Bodies are carried out to the standards required
  • Assist Bespoke IM administrators in how to obtain all relevant AML documentation from new clients and complete detailed source of wealth, client risk rating and enhance due diligence where applicable in accordance with CBAM Due Diligence Standards and AML QA Procedures
  • Provide guidance on client due diligence reviews and triggers in accordance with AML QA Procedures
  • Comply with the PA dealing policy

  • Willingness to travel to all UK offices as regularly
  • Excellent record keeping and reporting capabilities
  • Strong IT and MS Office skills: Word (intermediate level), Excel (intermediate level – basic formulas), PowerPoint (intermediate level), Outlook (advanced level)
