Job Description

Immediate starts available for experienced project coordinators to join one of our best-known clients in Bilborough, Nottingham. The role will consist of helping sales to create delighted, loyal customers by co-ordinating with departments and assisting with the administrative processes involved in getting an order through the business, with an aim to achieve perfect, on-time full orders with an emphasis on the best possible delivery date for the customer.

Key Responsibilities:
1 Clarity operations:
  • Ensure all orders are passed over seamlessly from sales, and processed efficiently, accurately, and in a timely manner onto our MIS (Clarity), ensuring that discrepancies, lead times, etc are checked for accuracy for KPI reporting (All orders should be processed within 24 hrs of receipt).
  • All processes are followed correctly to ensure no mistakes are made from processing orders to creating production paperwork and finally costing up finished works orders, to ensure that our production data is accurate.
  • Ensure that MRP/MPS is run at required times to capture new orders put on and that all the data is present on the system so that recommendations can be actioned, and works order/purchase orders produced in a timely manner.
  • Coordinate with the despatch coordinator to make sure all paperwork/processes are in line and ready for the despatch to be fulfilled to the customers’ expectations.
  • Ensure that Purchase orders are placed with the Supplier most able to deliver On Time In Full at the lowest cost to the business.
  • Take ownership of Stock codes/BOMs/WO/Sales Orders and Purchase Orders, and ensure that the data on each one is relevant and accurate to the best of your knowledge (including nominal codes, and charges).

2 Coordinate with other departments:
  • Communicate clearly with all other departments/stakeholders on projects you are handling, making sure that any updates/changes are clear, and bring to light any potential issues that may be encountered along with a possible solution.
  • Facility the ordering of required items from other departments (tools, consumables, etc) and communicate the progress of these orders.
  • Produce and collate the relevant paperwork required for; Operational Instructions / Job Bag / Co-pack Spec / Labels / Despatch, and ensure that all items required for production are available and ready to use so to not cause any unnecessary delays in production.
  • Lease with Goods In about incoming Goods in advance of their arrival.

3 Customer Service:
  • Have and express enthusiasm for customer care (internal and external customers)
  • Communicate with the customer when required by any means necessary (depending on the urgency of communication – eg if you need an answer quickly, phone the customer and ask).
  • Always work in a way that will keep the business cycle as short as possible, and work towards an agreed delivery date with the customer, without impacting quality or customer service.

4 Support Sales:
  • Ensure that all tasks that are required to support sales are done, and in a timely manner. If information or additional data is required, try to get this and document/record it in the best practice form.
  • Assist a salesperson by performing tasks for them that you are capable of doing whilst they are not in the office or if asked to do so.

5 General:
  • Able to work flexibly and balance assertiveness with the need to be helpful to all areas of the business, always acting with the customer in mind.
  • Excellent at prioritization and setting priorities based upon multiple variables, and the ability to time manage/plan one's workload.
  • Hold an understanding of and demonstrate the business's core values and goals.
  • Demonstrate the key skills for the job:- Customer-focused, Outstanding eye for detail, Composed under pressure, Computer literate, Good oral and written communication skills.

This position is Monday to Friday, the shifts could be: 08:00-16:00 or 09:00-17:00. This is an ongoing role with the chance of a full-time contract.

The rate of pay is between £25,000 and £30,000 per annum depending on experience.
