School of Public Health Administrator

Salary Range £35,477 - £39,860 per annum

This is an exciting opportunity for an individual to work with and assist the Deputy School Manager in delivering comprehensive high-level administrative support to the School of Public Health (Director, Professor Deborah Ashby). The post holder will work closely with the School Administrative Team to provide support and to ensure the smooth running of the School Office across all areas of the School’s activities. The post will involve considerable liaison with academic and administrative staff across the School, as well as other staff across the College.

Duties and responsibilities


  • To assist with the implementation of the Athena SWAN action plan, including activities such as data collection, organising events and updating the website.
  • To support the Opportunities Committee Co-chairs and Deputy School Manager in developing, implementing and reviewing Athena SWAN process, staff survey action plan and wellbeing initiatives. To service and assist the School’s Opportunities Committee, preparing agenda papers, taking minutes and ensuring actions and initiatives are followed up.
  • Assisting with internal and external SPH communications/marketing and ensuring that the SPH is represented in line with its communication strategy.
  • To take responsibility for School of Public Health (SPH) Committee meetings as requested. This includes planning the Committees, formulating agendas, collating and circulating papers, producing accurate minutes and following up action points.
  • To create and maintain SPH records of information required by Faculty/College e.g., staff lists, HR process tracking. To coordinate responses to Faculty/College queries made to the SPH.
  • To handle HR information with confidentiality, respond to HR queries arising in the SPH or Departments and advise on HR policy and procedures where necessary.
  • To be aware of and help coordinate annual HR procedures (e.g., job level reviews, academic promotions, performance payments). To take responsibility for the related confidential paperwork and how it is recorded/accessed in the SPH.
  • To assist with updating and improving the SPH website.
  • To assist in planning and organising events and meetings in the SPH and monitor the calendar of events.
  • To work with the Deputy School Manager and School Manager to prepare for the move of the School of Public Health to White City campus and to assist in coordinating the management of resources including buildings, equipment, materials, and space.

Essential requirements


  • Degree level education or relevant experience
  • Experience in administrative work in Higher Education or similar setting
  • Excellent organisational skills, good time management and ability to work to deadlines
  • Strong administration skills, with high level of accuracy and attention to detail
  • Ability to produce accurate minutes
  • Ability to use initiative, work independently and demonstrate a proactive approach
  • Proven expertise in the use of spreadsheet programmes, preferably Microsoft Excel
  • Good computer skills, including experience of using the internet and e-mail, Microsoft Word, Excel and/or other database packages
  • Ability to communicate well with people at all levels and develop effective working relationships

Further information

This is a maternity cover for a year based at St Mary’s campus, Paddington and White City. You will be expected to play a full and active role in the administrative life of the School and may be required to travel to other Imperial College campuses.
