Norfolk and Suffolk NHS Foundation Trust provides child and adult mental health services, learning disability, wellbeing, older people's and eating disorder services across Norfolk and Suffolk.

Clinical Support Team Administrator - Wellbeing Service

Do you have excellent communications skills and a keen eye for detail? Can you effectively manage multiple tasks and priorities whilst maintaining a strong degree of confidentiality? Wellbeing Norfolk are looking for an extremely professional, conscientious, calm and confident individuals to be a part of the Webinars Administration Team.

This role will be supporting the Clinical Admin Team. This will involve working closely with professionals and the general public. Working with different electronic patient systems to maintain patient information. This role will offer a variety from referrals into Norfolk Wellbeing, taking phone calls, update of patient records and general admin support to the clinical admin team as well inputting of incoming referrals. This role is core office hours of 8am - 4pm / 9am - 5pm and is based at Brooke House, Longwater Business Park in Norwich.

Main duties of the job

  • Previous administration experience is essential.
  • Full training will be given for this role.
  • You will need to be able to demonstrate the strength of your communication, prioritisation and administration skills at the same time as showcasing your knowledge of IT systems.
  • You will be able to evidence a flexible response to service needs and the ability to think creatively.
  • Experience of working to deadlines, on your own initiative and maintaining strict confidentiality are also essential.
  • Experience of working on the telephones and dealing with patients

Essential criteria:

  • Use of ICT applications/packages.
  • Experience of working in a busy office.
  • Taking and processing referrals via phone and online and extensive knowledge of all Microsoft packages.
  • Dealing efficiently and politely with both internal and external customers in a confidential and confident manner.
  • Professional exceptional interpersonal and customer service skills with a dedication to confidentiality are essential.

Qualifications

Essential criteria
  • NVQ 2 Customer Services or equivalent
  • NVQ 3 Business Administration or equivalent or working towards
Desirable criteria
  • Knowledge of Trust electronic records system

Experience

Essential criteria
  • Understanding and experience of working with a full range of administration proceedures and systems gained through practice at intermediate level
  • Working on own initiative with minimal supervision. Working under pressure.
  • Ability to work with senior members of staff across a large organisation.

Knowledge

Essential criteria
  • Working knowledge of Microsoft packages or equivalent
  • Maintaining adminisrative / secretarial systems
Desirable criteria
  • Knowledge of NHS policy / procedures.
