The Birmingham office opened in 2015 and has a number of practice areas including Corporate/Commercial, Disputes, Finance and Real Estate, as well as our Legal Delivery Centre and business services departments. The office has recently trebled in size and moved into a new fitted out space in the Colmore Building.
Department Description
The People team is responsible for all people management activities in the London office in relation to legal staff (including those seconded to clients and international offices), business support staff and PAs.
HL Learn, the global Learning and Development team, is part of the firm’s People function, and headed by the Chief Learning Officer, based in Washington D.C. Teams in each of the firm’s regions (Americas, Asia-Pacific, and EMEA) collaborate on global, regional, and local initiatives.
The EMEA team is based across offices in London, Birmingham, Munich and Johannesburg, and supports the firm’s People strategy through a range of coaching, development programs, workshops, e-learning, and other career development activities.
Role Overview
The Learning & Development Administrator will support the delivery of a large internal training event in the EMEA region. This event will run in-person twice in 2023 for approximately 160 participants. This role will ensure the logistics of the training event are all administered successfully and assist with on-site support during the training.
Key Responsibilities and Accountabilities
  • Coordinating room bookings, catering, room set-up, equipment and technology for training events
  • Administering the invitation process for large training events including the circulation and tracking of invites
  • Monitoring mailboxes, scheduling calendar invitations, and maintaining attendance records
  • Updating the internal event website with key information such as agenda and speaker bios
  • Supporting with the creation, updating, printing and distribution of materials
  • Creation, circulation and consolidation of feedback surveys
  • Liaising with external providers such as restaurants, hotels and travel agents to coordinate dinners, accommodation and travel requirements
  • Liaising with internal teams such as Security, Catering, Reception and the in-house functions team
  • Providing on-site logistical support for training events
  • Performing additional duties or responsibilities, which fall reasonably within the ambit of the job description or in accordance with operational requirements
  • Specific duties and responsibilities may be reviewed form time to time to reflect changes in personnel, management structure, staff location and services provided

Person Specification
Qualifications & Training
  • Previous administrative experience in Learning and Development, HR or events.
  • A good knowledge of the MS Office suite of applications, including Word, Excel, and PowerPoint, and excellent IT skills (Teams, Zoom, interactive software for polling, quizzes etc.)
