Job Description

Wow! What an exciting opportunity for an immediately available Programme Administrator.

You will join the London Team of a global investor of independent groups, who work for and on behalf of human rights, justice, and democratic governance. Your 6-month temporary role will be to provide support to the Culture and Art program within the Global Programs Expression team.

They work endlessly to advance cultural and artistic freedom by building the power of socially engaged artists and cultural producers.

This role will offer a 40-hour working week, with a hybrid model of working, Monday to Friday. Their city-based London office has numerous transport links and boasts some fabulous onsite facilities.

Key responsibilities will include:

Grants Administration:

  • Support grant admin and operations: process, monitor, track, and oversee the processing of open call grants (create, populate, and maintain grant record and budget codes, set up and process payments, reports, and amendments, liaise with grantees for documents, admin, payment/finance issues, with the approval of Team Manager and/or senior PO)
  • Maintain, monitor, and update master grant list: track grant process, deadlines, payments, and deliverables, update Team Manager periodically
  • Identify and implement improvements to grants administration and operations at the program level
  • Identify and implement improvements to data management
  • Contracts:
  • Input and process all contracts, honorariums, consultancy, and vendor agreements
  • Draft TOR (identify timeline, deliverables, payment structure) for Team Manager approval
  • Update contracts tracker
  • Monitor and process payments and amendments
  • Coordinate all contract-related questions, and concerns with legal
  • Budget Administration:
  • Generate, collate, and analyse budget data, updating restitution budget trackers
  • Run budget reports, and draft budget updates as needed
  • Monitor budget (program, grants, admin) and process budget modifications and management commitment requests
  • Liaise with relevant internal stakeholders around budgets
  • Events and Global Programs:
  • Lead on logistics and arrangements for internal and external events, including public programs, internal programs (talks, lectures, performances, etc.), cohort and virtual events
  • Liaise with event coordinators for payments, updates, and budget, and coordinate all event and public program logistics with relevant parties and stakeholders (internal: comms, legal, finance, facilities; external: consultants, partner institutions, and event participants)
  • Program/Document Preparation/Translation:
  • Maintain, update, and create when necessary, a timeline for programs and operations - grants, payments, contracts, events
  • Coordinate communication products (write-ups, talks, interviews, anything press related for fellows, press releases for fellowship, etc.)
  • Coordinate calls with stakeholders (grantees, consultants, partners, colleagues) with Team Manager and/or Senior PO, participate in calls and conduct high-level note taking as needed
  • Draft write-ups, memos, emails, and other written material as needed
  • Coordinate translation efforts across all aspects of restitution-related programming
  • Coordinate all program translation needs and assignments with the preferred translation service
