The Sales Administrator role for leading Distributors in Warehouse Solutions to join their supportive team at accessible HQ in Bradley Stoke, near Bristol Parkway, Bristol.
Your main objective will be to deliver on the Company’s aim to deploy audio-visual and videoconferencing projects to the highest standards and in the most cost-effective and efficient manner. To provide administration support to the project team ensuring first-class project documentation is produced in a timely fashion and archived on the Company servers. To manage client projects which are ‘delivery only’. More specifically:
· Attend and contribute to weekly Project Meetings taking minutes which are distributed to the project team and to the Directors on the same day. · Establish the most cost-effective and efficient methods to get Company staff and equipment to client sites, taking responsibility for booking flights, transport, hotels and couriers. · Manage the delivery of specific client projects from start to finish, as so prescribed by the Head of Projects. · Be responsible for keeping the client fully informed of the project status throughout the lifecycle of assigned projects. · Assist project managers with the preparation of project documentation in a timely fashion, especially in relation to providing information to the engineers. · Assist the Head of Projects in ensuring that all required paperwork is generated by the project team at the relevant project milestones. · Ensure that all required paperwork is returned for completed projects, using the Company’s document tracker system by way of checking and then immediately highlighting any omissions to the Head of Projects. · On a Friday morning, prepare and distribute the following week’s programme of works, detailing which engineers are at which client site on which days and including all hotel and travel information. · Liaise and build strong, long-term working partnerships with clients and 3rd party agents. · Ensure that a professional handover with the client is conducted, where applicable, from the Project Manager to Client Services. · Assist in ensuring the Company achieves and maintains all relevant qualifications and accreditations including but not limited to all Health and Safety (C.H.A.S and engineer training) certifications, ISO accreditations, manufacturer/product certifications and staff security clearances. · Process engineer credit card records for the Finance department. · Provide cover when necessary in the Production Workshop, booking in deliveries, handling shipments and updating the Company’s records. · Be responsible for answering incoming calls to the Company, in a professional and polite manner, and distributing messages by email to colleagues. · Maintain on a daily basis an up-to-date record of all activities and contact with clients and prospects through the Company’s CRM database. · Prepare orders for equipment and stationery. · Support the Head of Projects and Directors in any other tasks to facilitate effective operational processes
