Studio and Resource Manager

Job brief

This is an excellent opportunity for a Studio and Resource Manager to join our Studio based in Borough, London.

We are an award-winning creative studio and one of the most prolific multidisciplinary design and production practices working in art and entertainment. We create experiences for live music tours, festivals, art installations, experiential spaces, branding campaigns and theatrical productions.

Treatment Studio’s expertise comprises multimedia content production, stage, lighting & set design, and the creation of interactive & mixed-reality environments, allowing for a seamless production and creative experience.

We are looking for a motivated person to help cover a range of responsibilities in our Central London Studio. This role requires a full time in-office presence.

The ideal candidate will be good humoured, switched on and able to undertake a variety of office support tasks, with an attitude where nothing is too much trouble. This person will be comfortable working with a high degree of attention to detail and discretion as well as incorporating new and effective ways to achieve better results. The role requires an independent and thorough work ethic, with the ability to provide clear and concise communication and direction.

Responsibilities include:

Production Resourcing -

  • Working with lead producers and management to align the proper people to projects, including producers, animators, technologists and specialists, both in-house as well as remote workers.
  • Responsible for an overall Studio resource tracker in terms of creation of the tracker, projects, assignments, skill sets and hours attributed.
  • Ongoing organisation of and input to a resource/freelancer database
  • Ownership of all freelance contracts, NDAs and agreements.
  • Maintain team holiday/vacation scheduling to ensure consistent coverage across all projects

Social Media -

  • Management of our social media accounts, including organising the creation of and timely scheduling of posts as well as the drafting of all captions and content.
  • Management of our .com site in regards to updating with current projects and content.
  • Moderation of incoming emails to our jobs@, info@ and similar group email aliases.

Administrative -

  • Travel coordination and booking for both full time and freelance staff.
  • Maintain all Studio files and records, maintaining high level of accuracy and organisation
  • Support in scheduling group/client meetings in multiple diaries and time zones
  • Coordinate Studio deliveries/mail distribution
  • Generates invoices per project milestone
  • Shipping coordination of production gear to off-site productions - knowledge of carnet organisation a core plus
  • General Studio support and office admin – data entry, maintaining records, scanning, photocopying, filing
  • Meet and greet visitors
  • Answering calls, fielding appropriately and taking accurate messages
  • Use a range of software, including e-mail, spreadsheets and databases to ensure the efficient running of the Studio.

Office Organisation -

  • Implement procedures that improve the running of the Studio
  • Maintain the highest level of organisation in the Studio, keeping the space in premium shape at all times
  • Monitor Studio level of supplies and handle shortages – groceries, stationery, office equipment, health supplies
  • Maintain office cleanliness and be extremely proactive for all office break-fix needs
  • Look after building maintenance and facilities – health & safety, building security, fire safety
  • Being the first person of contact for any issues with equipment or maintenance - independently resolving Studio-related malfunctions and booking repair & maintenance as needed
  • Organise gifting and catering for birthdays, new starters, leavers, Christmas etc
  • Support with HR admin and recruitment and onboarding new starters – keeping personnel records up to date.
  • Oversight of cleaners and first-in stock checks of pantry, toilets and workspace

Requirements:

  • Self-motivation with the ability to take initiative, prioritise and work independently is core to this role.
  • Excellent communication, organisational and time management skills
  • Keen attention to detail and tidiness
  • Can do attitude and the ability to think laterally to solve problems
  • Proficiency in MS Office Suite as well as Google Docs/Sheets/Slides/Drive
  • Previous experience in a similar position working in a creative or production setting a plus
  • Working knowledge of the live event and content/video production lifecycle a plus
  • Knowledge of standard office equipment and general office maintenance

Location: Borough, London. Role requires on-site presence 5 days/week.

Length of Contract: Full time position.

Salary: £35,000.00-£40,000.00 per year
