Job Description

Recra is working in partnership with a great company based in Leicester. We're looking for a Sales Office Administrator to join the team!

Sales:
  • To jointly oversee within the Sales Office team, the productivity of all Sales Office functions, ensuring that all daily, weekly, and monthly Sales Office tasks are completed in line with the targets set by and agreed with the Sales Manager (where applicable).
  • Process sales enquiries both on and offline, via all of the company websites, and eBay channels.
  • Actively follow up on outstanding customer quotes and invoices on a daily basis.
  • Actively engage with current, lapsed, and potential customers through targeted telephone calls and emails.
  • Maintain customer and company records up to date with contact names, email addresses company type, and industry sector, along with telephone numbers on Sage, ready to export to CRM when ready.
  • To provide and maintain an exceptional level of customer service.
  • Achieve and maintain detailed product knowledge across all of the company product ranges.
  • To ensure that during holiday or absence, your colleagues have full visibility of your work and a full handover is completed prior to any pre-booked absence.

After Sales:
  • Chase outstanding Purchase Orders and advise all Sales Order Staff of any progress or delays.
  • Ensure customers are kept informed of any variation to delivery dates.
  • In conjunction with the Operations Manager, manage customer repairs throughout the business.

Key Tasks:
  • To collate general sales orders, invoices, and quotes and pass them for fulfillment.
  • When required, book supplier orders and pass them to despatch.
  • When required and requested, assist in fulfilling other roles within the business.
  • To provide first-line support by answering all incoming lines within 5 rings when possible.
  • To identify key customers who need additional service and attention and feedback to the management team to organise account meetings and reviews.

Key Results/Objectives:
  • Process all sales on the day they are received.
  • Follow up on all quotes and invoices on a daily basis to maximise the sales conversion ratio.
  • Meet agreed weekly targets for:
    • Order processing.
    • Quote & invoice follow-ups.
    • Sales Prospecting.
    • New Customer Acquisition.
